Project challenge

The concept of flexible office management platforms was gaining traction globally, yet remained underdeveloped in the Australian market. The client’s ambition was to test and validate this emerging concept locally. However, they faced several critical uncertainties:

  • Who is the real user?
  • What exactly do they need from a short-term office solution?
  • How should the experience adapt to various equipment, capacities, and time-slot requirements?

The stakes were high: launching a product without deeply understanding user behavior in an unproven market could mean missed opportunities—or worse, a failed product-market fit.

We initiated the project with immersive user research. Through interviews and contextual inquiries, we uncovered how startups, freelancers, and enterprise teams approached short-term rentals. We learned about their frustration with manual booking processes, trust issues with space availability, and the lack of workspace customization.

From this research, we distilled the insights into actionable user personas:

Ideate

In collaborative sessions with stakeholders, we explored diverse flows and wireframes. We used crazy 8s, storyboarding, and prioritization matrices to identify the most impactful features for the MVP—balancing usability, business viability, and technical feasibility.

Prototype

We rapidly developed interactive prototypes of the core flows, including:

  • Advanced room filtering by capacity, equipment, and availability.
  • A step-by-step, user-friendly booking system.
  • Admin dashboards for room and request management.

Test
